We offer advanced, modern dentistry in a calm, relaxing office with minimally invasive procedures and state-of-the-art technology.
Our doctor is kind, highly skilled, and we have great hours! Our office manager position will require strong communication skills and a genuine interest in helping others.
The successful candidate will demonstrate initiative, a collaborative work style, a positive attitude, a professional manner, and a strong work ethic.
Other essential characteristics include attention to detail, proficiency in prioritizing responsibilities, confidence in problem-solving, superb organizational skills, and an ability to self-motivate.
Practical requirements include previous experience with a clinical dental role (dental assisting or dental hygiene) or a solid clinical understanding, excellent customer service skills, dental insurance benefits and claim submission and processing, and schedule management.
Prior experience with SoftDent is a major bonus.
The Practice Manager is the foundation on which a successful team is built.

M-Th 7:

Reception Responsibilities Demonstrate thorough knowledge of practice management software Ensure correct answering machine message is set and retrieve all messages.
Communicate emergencies and appointment changes from retrieved messages to appropriate staff.
Answer the phone by the third ring with a warm and friendly voice.
(Answer with a smile on your face!) Determine and meet the needs of each caller following the practices call process.
Communicate the arrival of each patient promptly.
Meet and greet each patient as a welcome guest to the practice.
Monitor patient's waiting in the reception area.
Communicate with both patient and clinical staff if patients are waiting Ensure a clean and uncluttered appearance in the reception and front office area.
Answer questions from patients and other staff members cheerfully.
Accurately document all communications in the patient's chart.
Scheduling Responsibilities Ensure the practice meets production goals through efficient scheduling.
Complete new patient information sheet entirely when scheduling new patients.
Track the source of each new patient in the system.
Reappoint patients for future care before they leave the office.
Inform team during the morning huddle of scheduled patients who have not appointed for their recare visit or have unappointed family members.
Monitor and record missed appointments, late patients, and pending treatment.
Fill broken appointments.
Routinely monitor the schedule for the following two weeks for accuracy and efficiency.
Build a short notice list to fill cancellations.
Benefit Coordination Responsibilities Verify new patient's insurance prior to the first visit.
Obtain accurate insurance benefit information for each patient.
Enter insurance information into the computer.
Obtain a signed assignment of benefits forms from each patient.
File insurance claims daily.
Prepare treatment plan estimates.
Provide support for patient consultations.
Understand and effectively communicate the patient's dental insurance benefits.
Follow up on rejected insurance claims regularly.
Financial Responsibilities Follow written collection protocol of the practice.
Reach a financial agreement and document this agreement in the chart with signed treatment plan and treatment estimate sheet prior to providing treatment.
Collect patient portion from each patient on the date of service and provide a receipt to the patient.
Assist in creating and sending monthly statements.
Accurately enter all patient charges and payments into the computer.
Accurately enter all insurance and personal payments into the computer.
Obtain approval for credit adjustments to patient accounts and make accurate documentation.
Reconcile daily schedule to invoices to ensure the accuracy of charges.
Reconcile bank deposit each day.
Have a thorough knowledge of the practice budget and strive to exceed production and collection goals.
Seek ways to reduce practice overhead and ensure that practice expenses are well managed.
Manage accounts receivable, keeping accounts past 30 days to a minimum.
Reactivation and Recare Responsibilities Follow recare steps outlined in office recare protocol.
Help contact 50 unscheduled patients each month.
Document reactivation efforts in the patient chart and on the reappointment list.
Contact unscheduled treatment patients on a monthly basis.
Manage productive hygiene schedule and recare system.
Misc.
Responsibilities Perform tasks for other staff members when they are on vacation.
Report problems to the Dr.
promptly if you cannot figure them out.
Send thank you notes or gifts for referring patients and apology gifts.
Purchase office and miscellaneous supplies as needed.
Sort and distribute mail.
Check office email several times daily and address needs promptly.
Familiarize yourself with building maintenance and report needed repairs promptly.
Coordinate coverage for team members during sick and vacation time.
Submit employee payroll records biweekly in a timely manner.
Manage employee attendance records.
Maintain accurate metrics data daily, compile and submit totals at month's end.
Coordinate OSHA, HIPAA, and CPR training at appropriate intervals.
Leadership Responsibilities Act as a liaison between team members and the Dr.
Serve as his co-visionary.
Seek opportunities for practice growth.
Manage and coordinate marketing efforts.
Guide team members to uphold the practice core values.
Manage the patient flow in the office at all times to ensure an excellent patient experience.
Promote and insist on excellent patient care at all times.
Communicate clear performance expectations to team members each day.
Coach, support and inspire staff to achieve peak performance each day.
Promote cleanliness standard and ensure cleaning and maintenance schedule is followed.
Lead an effective and motivating morning huddle.
Schedule and support team meetings on a regular basis.
Coordinate and supervise the training of staff members.
Resolve conflict among staff quickly and fairly.
DEBRIEF Resolve patient problems quickly and fairly.
DEBRIEF Assist with team members' performance evaluations.
